Privacy Policy
HomeTech Transfer is operated by SO1TECH LLC. This notice explains how we handle your website questions, chat messages, text messages, phone calls, callback requests, handoff requests, visit records, device photos and Passports.
What you send us
You can ask general questions in chat or email hello@hometechtransfer.com. The Handoff Planner uses click-based choices about the move and the home’s systems, then shows a plan before asking for contact details. Please do not send passwords, Wi-Fi secrets, alarm or access codes, recovery codes, identity documents, payment details, private recordings or account screenshots.
Chat and your information
Some initial chat replies are prepared automatically. Our team can review the conversation and reply directly; automated replies pause when a team member takes over. Asking for a person does not guarantee that someone is available immediately.
When you send a message, we save the conversation in a private Cloudflare D1 database for follow-up. The message and recent conversation are processed by Cloudflare’s hosted language service to prepare a reply. Team access uses a restricted business login. We keep chat records for 30 days from the start of the conversation, then remove them through a scheduled cleanup. Please do not share passwords, access codes, private recordings, payment details or account screenshots. We try to block recognizable credentials before storage, but cannot detect every kind of sensitive information.
Your browser stores a conversation identifier and secret access token in session storage so you can continue as you move between pages in the same tab. It does not store a transcript there. The saved session stops restoring after 30 minutes without sending a message or when the tab is closed. Starting a new conversation removes that tab’s access to the old chat; it does not delete the business record. Our application does not intentionally log message bodies or replies.
A new chat or request for team review can trigger a private Telegram notification to the business owner. That notification contains the event type, a reference and a link to the protected inbox; it does not contain your message or contact details. Notifications can be delayed or fail. The inbox retains the conversation for review.
Cloudflare processes technical request data for hosting, security and response services under its own terms. Rate limiting uses a hash derived from the request’s IP address. See Cloudflare’s data information and privacy policy.
Handoff Planner and proposal requests
The planner records your choices in this browser tab so you can move back, edit an answer or continue after a refresh. Those choices cover your situation and timing, the system groups staying with the home, the broad extent of the technology, what needs attention and how ready the handoff is. When relevant, it also asks which whole-home control platform you recognize, who can authorize security or property-access changes, and whether the main controls are usable.
A proposal request is saved only after the confirmation screen returns a reference. When sending is unavailable, the plan remains in this browser. A saved request contains the structured planner choices, your name, property ZIP, your selected delivery channel, the email address or mobile number for that channel, and permission for us to reply. It also includes the plan prepared from those choices, a request reference and record timestamps. The planner asks for one proposal destination, not both. It does not ask for or save an open note, street address, password, alarm code, access credential, payment detail or chat transcript.
A proposal request does not book a visit, accept payment or confirm service. Technical request data may be processed by Cloudflare for hosting, security and rate limiting.
Text messaging
By texting (469) 281-7222, you consent to an automated acknowledgement for a new enquiry and relevant staff replies from HomeTech Transfer about that enquiry. A new direct enquiry can receive one automated acknowledgement after it is saved. Staff replies depend on availability; an immediate response is not guaranteed. Texting is optional and consent is not a condition of purchase. You can also use the Handoff Planner, call (469) 281-7222 or email hello@hometechtransfer.com. We will not call you unless you ask us to.
If we receive a text, we may store your mobile number and message for staff review. We record the source and time of the incoming message, related enquiry references where available, delivery information and your messaging preferences. A direct text does not mean you completed the planner or checked a website consent box. We do not use an AI assistant to answer these direct text enquiries.
Twilio processes texts and delivery information, and Cloudflare hosts our private records. Phone numbers and message content are encrypted in our application storage. Authorized team members can read the messages to respond. SMS itself is not an end-to-end encrypted channel. Please do not text passwords, Wi-Fi secrets, alarm or door codes, recovery codes, payment-card information, private recordings or account screenshots.
Message content in our live application expires within 30 days of receiving the message or queuing it for sending. Expired content is unavailable to the team; scheduled cleanup removes that content and its application encryption keys. Contact details, enquiry references, messaging-permission records, opt-out preferences and delivery records are retained separately and do not automatically expire with message content. Twilio, carriers and backups may hold separate copies; our application cleanup does not confirm their deletion. Email hello@hometechtransfer.com to request access, correction or deletion.
Your text concerns the enquiry you started. It does not sign you up for marketing or unrelated recurring messages. This is not a promotional program. We do not sell or share mobile numbers or SMS opt-in consent with third parties or affiliates for their marketing or promotional purposes. Messaging service providers process information on our behalf to deliver and operate this channel.
Message frequency varies with your enquiry. Message and data rates may apply. Reply STOP to opt out or HELP for help, or email hello@hometechtransfer.com. Opting out stops further texts; it does not by itself delete existing records. This is not an emergency service. See the SMS Terms.
Phone calls and callback requests
Lisa identifies herself as our automated receptionist. Twilio carries the call and processes telephone numbers, call events and audio. OpenAI processes call audio and conversation context to provide the AI receptionist. If the AI connection is unavailable, Twilio may process spoken answers and keypad input to collect a callback request. You can ask to speak to a person; a transfer depends on someone answering and accepting the call.
If you request a callback, the assistant asks for your name, callback number, a short reason and an optional preferred time. It reads these details back and asks you to confirm before saving the callback. Cloudflare hosts the encrypted callback details, which authorized staff can review in our private inbox. We keep these details for 30 days from confirmation, then make them unavailable and remove their encrypted content through scheduled cleanup. A callback request does not give permission for marketing or automated texts.
Our application does not save call audio recordings or full call transcripts. It keeps encrypted, temporary call state to recover interrupted processing, and limited operational and follow-up records. Service providers may separately process or retain call information, conversation content and technical records under their terms and account settings. Deleting a HomeTech callback does not immediately erase provider records or historical backups. See OpenAI’s API data information. Do not speak passwords, alarm or access codes, payment-card details or other secrets to the assistant. For a correction or deletion request, email hello@hometechtransfer.com.
Email and proposals
When you choose email in the Handoff Planner, we use your saved request to send your plan, discuss the home technology involved and prepare a written proposal. Your case includes correspondence, proposal versions, your responses, delivery records and follow-up actions.
Cloudflare hosts the website and case records. Resend handles this workflow's email delivery and incoming replies. Messages sent directly to our business mailboxes, including contact details and attachments, are handled through Google Workspace. Email links to those mailboxes open your own mail app; a message is not sent until you send it.
Authorized team members can review your case and reply through the private workspace. Internal Telegram alerts contain the event type, a case reference and a link to the protected workspace; they do not include your email address, message text or proposal terms.
Your proposal review link gives access to that proposal, so keep it private. Links expire 14 days after release and are revoked when a case closes. Link expiry does not erase an accepted proposal or change agreed terms. Reply to the proposal email if you need help. Do not send passwords, alarm or door codes, payment-card details or other access credentials.
We keep case records while a request is active. Closed cases are marked for retention review 90 days after closure; they are not automatically deleted. Accepted proposals and records needed for outstanding work, payment questions or a dispute are preserved for separate review. These case records are separate from the 30-day chat history described above. We retain email suppression records to honor delivery restrictions.
Visit records, device photos and your Passport
For an agreed visit, we record relevant customer and property details, the agreed scope, rooms and devices, observations, unresolved items and the authorized Passport recipient. We use these records to perform the agreed work, prepare your Passport and handle follow-up. Before household photography or AI identification, the operator confirms the relevant person's authority and permission for that work. Do not give us passwords, Wi-Fi secrets, alarm or door codes, recovery codes, private recordings or payment-card details; enter any needed credentials yourself in the device's own app.
Device and label photos are reviewed before upload, with tools to crop or cover unrelated surroundings, personal details and access codes. Cloudflare hosts the private visit records, reviewed images and approved Passport files. Working copies are also saved in the operator's browser to help recover interrupted work. Staff access requires an authorized business login. Original photos and separately downloaded files may remain in the device's Photos or Files storage and require separate cleanup.
AI-assisted identification is optional. With your agreement, the operator sends a selected, reviewed device image and its device category to Cloudflare Workers AI to suggest a brand or model. The full visit record is not included in that request, but the image contents are processed by the service. Suggestions can be wrong and require human review; they do not establish that a device works. Device details can be entered manually without using AI.
Your approved Passport contains the customer-facing observations and photos; internal staff notes are excluded. Approved versions are kept so later corrections do not silently overwrite the earlier report. We manually confirm the intended recipient and share the approved PDF through Google Drive with General access set to Restricted and named access for the authorized recipient. An agent or other third party receives it only when authorized. We record the report version, recipient, link and delivery checks. A recipient's downloaded copy cannot be recalled by changing the Drive link.
Field visit records, uploaded photos and approved Passport versions do not expire automatically. We review deletion requests, including whether records are needed for outstanding work, payment questions, disputes or applicable recordkeeping obligations. Completing a visit or removing an uploaded photo from the current draft does not erase earlier saved versions or uploaded files. Browser copies, downloads, Drive files and backups require separate review and cleanup. These records are separate from the chat cleanup and email case review described above. Contact hello@hometechtransfer.com to request access, correction or deletion.
Payments
When you pay for an accepted proposal, Stripe processes the payment through its hosted checkout. We keep the proposal amount and currency, payment status and Stripe transaction references to reconcile your payment and respond to questions. Our website database does not receive or store your full card number or security code. See Stripe’s privacy notice.
Accepted proposals and payment records are handled separately from ordinary chat history. Closing a conversation or deleting chat messages does not delete these records. We retain them as needed for accounting, payment questions and applicable recordkeeping obligations. Contact hello@hometechtransfer.com about access or deletion requests.
Cookies and analytics
Public pages do not use advertising pixels, analytics cookies, visitor fingerprints or cross-site tracking. When first-party website measurement is enabled, selected public pages send a small event to our own website: a page category, an action such as viewing a handoff plan, and a recognized source label such as Instagram, Facebook, Reddit or Nextdoor when it is present on that page’s link. A recognized source label may be carried into a link to our handoff planner; other incoming link parameters are not copied. We store daily totals rather than individual event records and do not identify or connect individual visitors across pages or visits. These are observed browser events, not counts of unique people or verified customer inquiries. An unrecognized or missing source is recorded as unattributed.
These measurement records do not contain names, contact details, inquiry references, IP addresses, browser identifiers, full URLs, raw link parameters or referrer addresses. The measurement request omits cookies and referrer information. We keep a rolling 90-calendar-day window of daily totals; scheduled daily cleanup removes older totals, including when collection is disabled. Your browser may block measurement without preventing you from using the planner. Our hosting provider still processes technical network information needed to deliver and protect the website.
The private team inbox uses authentication cookies to keep authorized staff signed in. Opening a link to another provider brings you under that provider’s policies.
Questions or a deletion request
To request access, correction or deletion, contact hello@hometechtransfer.com. Include enough information to identify the relevant inquiry without sharing passwords or sensitive account details. We may need to verify that you are entitled to request the change and retain records where required. This is not an emergency or immediate-response channel.
Deleting records from our case workspace does not immediately erase copies in email providers, business mailboxes or backups. Those copies require separate review. We retain limited deletion records and provider references to track that work; a workspace deletion does not confirm that every copy has been erased.
